PDFMy in three sentences

PDFMy is a free PDF program from Paderborn that runs entirely in the browser: documents are processed on your own device and never uploaded. It scans and recognises letters, states the amount and deadline, helps with signing, redacting and archiving, and reads and creates e-invoices. PDFMy is developed by Mentor GmbH, which with its Haus iT division has been supporting small and medium-sized businesses in Ostwestfalen-Lippe for many years.

In just a few days PDFMy has grown considerably – the most important new features for your coverage:

• Send for signature – without a server: order, fields, deadline, reminder and bulk sending by email. For each person PDFMy shows ‘Sent’, ‘Received’ and ‘Read’ and suggests the next step, such as ‘read but not yet signed – follow up briefly’. An audit trail with SHA-256 checksums makes every version verifiable.
• Change text in the original font: if the font is embedded in the PDF, PDFMy carries on writing in exactly that font. Otherwise it uses a font of the same width – for Arial, Times, Courier and Calibri the new text runs as wide as the old.
• Office and more to PDF: Word, Excel, LibreOffice/OpenOffice, e-books (EPUB), text, Markdown and CSV – including headers and footers, tables and images. The other way round: PDF to PowerPoint, Word, Excel, Markdown or HTML.
• Summarise, ask and translate without uploading – with the AI models built into the browser itself (e.g. Chrome) or with an AI running on the same PC (Ollama, LM Studio). Off by default; PDFMy deliberately does not connect to cloud AI.
• ‘PDFMy’ printer: choose ‘Print’ in any program – the document opens immediately in PDFMy. On Windows with the built-in PDF driver, per user and without separate driver software; on the Mac via the PDF menu of the print dialogue.
• Patch code separator sheets: PDFMy recognises the separator sheets kept in the office for Kodak, Fujitsu or Canon document scanners and uses them to split scan batches – until now a feature of expensive capture software.
• Watch folder: Whatever the scanner or copier puts in a folder, PDFMy automatically makes searchable, converts to PDF/A or compresses – no server needed.
• Forms that calculate and validate: Totals, VAT and quantities calculate themselves; email, IBAN and postcode are checked as you fill them in – in Acrobat and other PDF programs too.
• Check privacy yourself: One click shows which connections PDFMy has made and that no document data was sent to the internet. If you like, turn off Wi-Fi – PDFMy keeps working. PDFMy also checks whether the running program files exactly match the published version (fingerprint in the release log on GitHub).
• Text recognition now also for Arabic, Persian, Hebrew, Chinese, Japanese and Korean – over 40 languages in total.
• Digital signature with timestamp (PAdES B-T) and password protection with AES-256.
• Document management: post log with case files, tags, custom fields, versions and GoBD audit report.
• For construction and engineering: measure lengths, areas and polygons in plans – to scale. Plus PDF/A validation, visual comparison of two versions and a form designer.
• Large documents: in our test, PDFMy saved 1,000 text pages in around one second; scans are compressed on several processor cores at once.
• Open and international: source code on GitHub (non-commercial licence), interface and website in 40 languages, pdfmy Scan for Windows (digitally signed), Mac and Linux.
